Travel Co Ordinator

The position of Travel Coordinator will help organise, book and manage the travel requirements for the whole company. The role will work closely with the team of Executive Assistants as well as the Events and Marketing teams. This position will be pivotal in helping the business grow and continue to move fast by ensuring the right people are in the right place at the right time. The Travel Coordinator will involve challenges that need creative solutions and thinking outside the box.

Key responsibilities and accountabilities

Travel Booking

* Responsible for managing travel and logistical bookings across the whole company

* Produce detailed itineraries for team and client trips and meetings when required

* Build relationships with airline and hotel providers

* Continually evaluate providers prices, always striving to reduce costs to the business

* Regularly provide accurate reporting and insights, and continually apply the learnings

* Ensure all sensitive data is securely stored and managed

* Provide professional communication and an excellent level of customer service to all employees in the business

* Manage the reconciliation of all payments and expenses and the spend schedule with the Finance Team

* In a timely manner, escalate concerns to senior team members about any tickets raised that have timings, geographical or budget issues that will make the request impossible

* Ensure all points systems are being made best use of (i.e Air Miles)

* Work closely with the Events and Marketing team to book all travel associated with our events

Finance Support

* Manage new supplier forms, invoices, credit card payments, expenses, spend schedules and financial reporting for all travel related expenditure

* Continue to nurture our relationship with the Finance Team, understanding their pressures and always ensuring we are giving them what they need from us on time

Essential

* Proven experience working in a similar role

* Ability to work within a fast moving team and company fast paced team and company.

* Confident with technology and background in learning new tools such as Confluence, Confluence Content Formatting Macros, Jira and Hubspot.Strong communication skills and excellent attention to detail are essential

* Strong time management skills; able to prioritise and organise a varied work schedule

* Willing and able to travel internationally when required

* Prepared to work outside of standard working hours when projects and events demand it

* Ability to build strong relationships with travel partners

Desirable

Previous experience within Expensify and project management tools such as Jira, Confluence and Slack
