IT Commercial Analyst – Procurement
Job Description
Global Law firm – IT Commercial Analyst – 6 months FTC – 40-47k pro rata + Bens
Hybrid role – 3 days Office 2 WFH
The IT Commercial Analyst will work closely with the IT Commercial Manager to ensure that the Law firm's global IT budget is effectively managed, in-line with operational priorities and IT strategy.
The role will manage day to day IT purchases, liaising closely with the relevant staff, supporting processes from quotation through to delivery and payment.
Additionally, the role will arrange NDAs, support tenders (to include coordinating contract reviews with Risk & Compliance and lawyers), and pro-actively monitor active contracts for performance and renewal events.
The role will be expected to operate at the Skills Framework for the Information Age (SFIA) levels 3 and 4 for Financial Management, Supplier Management, Sourcing and Asset Management which includes:
* Monitors and maintains financial records to agreed requirements for compliance and audit.
* Assists with identifying and calculating process, service, project and component costs for financial planning and budgeting.
* Collates required financial data and reports for analysis and to facilitate decision-making.
* Acts as the routine contact point between the organisation and suppliers.
* Supports resolution of supplier-related incidents, problems, or unsatisfactory performance.
* Collects and reports on supplier performance data.
* Prepares pre-qualification questionnaires and tender invitations.
* Applies standard procedures and tools to produce detailed evaluation criteria for complex tenders and to evaluate tenders.
* Controls assets in one or more significant areas ensuring that administration of full life cycle of assets is carried out.
* Produces and analyses registers and histories of authorised assets and verifies that all these assets are in a known state and location.
* Acts to highlight and resolve potential instances of unauthorised assets.
Duties & Responsibilities
* Managing the payment process, e.g. arranging quotes, approvals, raising POs, reconciling invoices and seeking payment approvals.
* Day to day purchasing, e.g. arranging quote and ordering end user equipment such as laptops.
* Inventory management, working closely with the IT Service Desk to track technology assets.
* Supporting procurement processes, e.g. RFIs, RFPs, and coordinating tender document reviews.
* Contributing to the development of new procurement processes and introduction of a procurement system.
* Arranging NDAs.
* Any other ad hoc duties as required.
Key Skills & Experience Required
* At least 3 years' experience in a similar role in a comparable organisation or technology supplier.
* Evidence of ability to operate at SFIA Level 3 and above.
* Solid financial and/or commercial qualifications, with an excellent grasp of budget management and procurement in a technology function or supplier.
* Able to manage stakeholders’ expectations when working to deadlines.
* Professional manner with the ability to work under pressure and prioritise effectively
