Purpose of the role:
The Document Controller is responsible for the provision of Document Control services within the business, under the guidance of the Information Analysts and Information Management Team Lead.
The role involves providing a high level of service, interpersonal skills and attention to detail.
The Document Controller must ensure activities are conducted in such a manner that they meet compliance and audit requirements within the processes, standards and guidelines of the Information and Technology department.
o Assist in the creation of document control processes, procedures and standards
o Document Control focal point for UK and International assets and project teams
o Receipt and distribution of documentation both internally and externally.
o Registration and storage of documentation within the company ECMS
o Creation and management of Transmittals within IMLS
o Create Master Document Registers and Document deliverable registers.
o Allocation and control of Document numbers.
o Auditing of controlled documentation.
o Creation of late periodic review reports and expedite update of same.
o Quality check of documentation received both internally and externally.
o Archive documentation in accordance with Archive Procedure.
o Search and retrieval of information as required.
o Proficient in the use of Sharepoint and Microsoft Teams
o Any other duties as directed by IM Team Lead
Relevant Experience / Skills:
• Experience of Document Control experience within the Energy Sector
• Previous experience or understanding in subsurface document control an advantage
• Demonstrable knowledge of Document Control principles and practices.
• Demonstrable experience of using Electronic Document Management solutions
• Ability to convey and enforce document control principles and services
• Excellent communication and interpersonal skills
• Team oriented work approach
• Educated to Higher Level
• Discipline relevant qualifications desirable preferably RGU Document Control Foundation Course
